Coordinates and provides administrative support of a specific program or program(s).  Plans and coordinates the day-to-day fiscal, administrative, and operational activities of a specific program or program(s).  The program(s), may be scientific, research, educational, or service oriented. Duties typically include grant planning and administration, budget management and control, program implementation and administration, internal and external operational/administrative liaison, program marketing, and reporting.


Program Coordinator will:

    Serve as the primary contact for the Electronic Residency Application Service; provide support and  assist students with completing the on-line MyERAS application
    Coordinate the preparation of the Medical Student Performance Evaluation (MSPE): processes, schedule interviews, and work closely with the Assistant Dean for Student Affairs and Manager to ensure accuracy between campuses
    Provide necessary data/information to the Students Events Coordinator for the following events: M1 and M3 Orientation, National Resident Match Program (NRMP) Match Day; SOM Hooding; Graduation
    Assure medical student annual immunization compliance to meet the requirements of all training sites
    Coordinate the Gold Humanism Honor Society (GHHS) selection and notification process and work directly with the Student Events Coordinator for planning of the subsequent induction banquet 
    Coordinate the National Resident Match Program and Supplemental Offer and Acceptance Program 
    Work with SFMatch, Urology Match, and military students through the application process
    Coordinate M3 Career Advising and Residency Selection Assistance Program meetings and deliver content through oral presentations 
    Provide needed documentation to alumni students applying for fellowship programs or reentering the ERAS application process
    Upload documentation (AMCAS application, transcripts, acceptance letters and other documentation) provided by Admissions to the SOMs document management system; upload electronic file of demographic information on each student into Oasis and MedHub 
    Coordinate and oversee events for: M1 and M3 Orientation and Student Clinician Ceremony; Gold Humanism Honor Society (GHHS) induction banquet; National Resident Match Program (NRMP) Match Day; SOM Hooding; Awards and Graduation
    Plan event with attention to financial and time constraints
    Negotiate contracts with vendors and process all invoices to make sure vendors are paid promptly

Education, Experience and Requirements

    Associate’s Degree or equivalent experience required
    Bachelor’s degree preferred
    4-5 year related administrative/clerical experience
    Excellent organizational skills required
    Strong verbal and written communication skills necessary
    Attention to detail required
    Ability to analyze and interpret data







High school diploma or equivalent required; Bachelor’s Degree preferred;
4 years' administrative and/or office management experience;

Proficiency in Microsoft Office Suite to include Word, Excel; PowerPoint and Outlook




Knowledge, Skills, Abilities:


Ability to make administrative/procedural decisions and judgments;


Ability to coordinate and organize meetings and/or special events;


Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community;


Ability to lead and train staff and/or students;


Knowledge of finance, accounting, and budgeting procedures;


Ability to gather and analyze statistical data and generate reports;


Ability to function effectively as a team member, while exercising independent and critical judgment;


Ability to prioritize work with multiple and conflicting demands in a deadline-oriented environment
