GME Institutional Coordinator & VA Liaison
The Graduate Medical Education (GME) Office at Creighton University is hiring for an Institutional Coordinator.
The GME Coordinator position will have dual roles. Shared duties to support the VA Medical Center (VAMC) and the GME program. Regular travel between the VA and GME office is required.
The primary role for this individual will be to audit the VAMC resident work hours to ensure that there is an accurate representation of billing invoices provided to the VAMC. Perform complex, advanced, diversified, and confidential administrative duties including but not limited to: drafting correspondence, scheduling meetings, and organizing and maintaining files. Serve as a back up to the GME Institutional Manager and coordinate virtual and in-person meetings, process resident/fellow reimbursements, assist with orientation, recruitment, evaluations, work hour compliance, and process credentialing verifications.

Courteously facilitates and manages requests, complaints and communication with staff, physicians, and external customers. Exercises good judgment, discretion, and diplomacy in communications.
Responsibilities
- Resident/Fellow Scheduling. Rotation/call schedule, track work hours, etc. Ensures curriculum requirements are met by training level and accreditation. Develops, supervises, and distributes call schedule, rotation schedule, leave requests, and conference schedules. Supervises data entry of program operative procedures for credentialing and accurate tracking of ACGME defined categories. Manages resident rotations accurately for hospital accreditation including assessing and accurately reporting VAMC resident rotations and presence while on VA rotations and comparing work hours with resident schedules in New Innovations.
- Finance Responsibilities. Prepares travel and business expense reports (TERs) and submits to the Business Service Center for residents/fellows. Critically analyzes and provides quality improvement techniques to address work hours and invoice inaccuracies at the VAMC, including determining reason for violations and/or trends; provides updates to PD and GME Administrator.
- Institutional Accreditation: Submits reports, responds to surveys, manages scheduled visits, provides oversight of program committees. Collaborates with PD about accreditation requirements and assists in setting up new programs after initial accreditation. Manages required documentation, prepares for, and participates ACGME site and new site or special visits, self-studies, and special reviews. Maintains knowledge of regulations, policies, and procedures set forth by the following entities: ACGME, ERAS, NRMP, USMLE, ECFMG, Nebraska Licensing Board and advises the Program Director, Associate Program Director, and residents/fellows of changes, additions, and clarifications
- Policies & Procedures. Self-educates on institutional and/or department policies, and interprets them for residents/fellows, Educates and manages residents/fellows on accreditation, and procedures for the recoding of appropriate, accurate and necessary VAMC work hours. Maintains websites to ensure accuracy.
- HR Function. Manages and maintains resident/fellow leave balances. Tracks attendance for GME level conferences and events. Provides guidance and assists residents/fellows with administrative matters (e.g., loan forbearance forms, research posters, verifications, notarization, etc.). Plans and organizes GME events, Wellness events, Research/QI symposiums and workshops. Provides on-going support for new and current residents in the distribution of pagers, keys, lockers, meal tickets, various passwords, and pass codes, and assures residents have up-to-date information on departmental, hospital, clinical, and outside contacts.
Qualifications
- Bachelor’s Degree required
- 1-3 years’ experience in education, medical education, &/or leadership management
- TAGME Certification preferred
- Prior experience as a GME program coordinator preferred
- Must have great customer service skills when working with internal and external customers
- Demonstrated ability to develop strong collaborative relationships and ability to multi-task
- Excellent written and verbal communication skills
- Strong administrative management skills and proficient with Microsoft Office
- Ability to assess and audit residency invoices
