Clinic Support Specialist
RESPONSIBILITIES:
- Welcome all patients and visitors in a warm and professional manner
- Promptly and professionally answer telephone calls; routing calls appropriately, offering voicemail or redirection as needed. Offer to take messages when voicemail or redirection is not possible.
- Process all incoming referrals within 24-48 hours following receipt
- Schedule appointments and follow-up appointments for patients by phone and in-person using a computerized system to match patient and provider availability
- Maintain a complete and accurate scheduling system to include all appointments, cancellations, and no-shows
- Communicate as needed with clinical staff about patient concerns/issues related to scheduling. Consult with Clinic Manager about any system problems.
- Facilitate patient flow and communicate delays with patients and clinical staff
- Obtain accurate information from patients and responsible parties; ensure registration packet is complete
- Perform complete and accurate data entry of demographics and insurance information into the practice management system
Qualifications:
High school diploma or equivalent required;
4 years administrative and/or office experience;
Proficiency in Microsoft Office Suite to include Word, Excel, PowerPoint, and Outlook
Knowledge, Skills, Abilities:
Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures/processes;
Ability to communicate effectively (verbal and written);
Customer service focus including the ability to assess inquiries and provide appropriate information or resolution using judgment and available resources, and proven ability to maintain confidentiality;
Ability to coordinate and prioritize work with multiple and conflicting demands in a deadline-oriented environment;
Ability to be collaborative and work in a team environment;
Demonstrate Professionalism;
Must be dependable/accountable
