Administrative Assistant III
Position Summary:
Creighton University is seeking to hire an Administrative Assistant III for the Physician Assistant Program at our Phoenix campus.
The Creighton University PA Program seeks a driven individual with personal initiative, independent and critical-thinking skills, with an ability for independent problem solving when complex situations arise, to become an integral part of a cohesive team in the PA health profession education program. This is a full-time role working in a great space and location.
This position supports the Program Director, Program Manager, and program faculty to perform complex and diverse duties, to include managing highly confidential student information, data management, professional written and verbal communication, scheduling and correspondence with applicants, candidates, and students; and serves as the first point of contact and liaison for communication with the program.
Essential Functions:
· Responsible for general office duties that include, but are not limited to mail distribution, answering phones, responding to email, ordering office supplies, taking notes, creating agendas, compiling minutes for various meetings, scheduling appointments, travel, and meetings; onboarding, orienting and giving logistical assistance to new employees in the department.
· Assist the Program Manager with admissions operations including answering general program email and phone inquiries, data entry, leading campus visits and tours, interview day operational logistics, organizing and planning program activities such as graduation, orientation, and White Coat ceremonies. Organize and prepare data and reports for accreditation processes and current program and student evaluation processes.
· Some travel may be required for acquiring supplies, student recruitment and professional meetings.
Education & Experience:
Required
· High School diploma or equivalent.
Preferred
· 3 - 4 years of administrative experience, preferably in an educational setting
· Bachelor’s degree
Knowledge, Skills, and Abilities
· Exceptional interpersonal skills.
· Proficient in Microsoft Office products.
· Ability to maintain confidentiality.
· Organizational and Time Management Skills, Project Management skills/experience.
· Ability to communicate effectively with people at all levels, self-starter.
· Ability to coordinate and prioritize work with multiple and conflicting demands in a deadline-oriented environment.
