We are hiring an Administrative Assistant II to support our University Communications and Marketing department. In this role, you will perform routine clerical and administrative functions such as answering phones, drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing strong customer service.
Key Responsibilities
- Manages calendar for department lead and coordinates meetings/appointments/travel arrangements for management staff, including room set-up and catering needs
- Provides administrative support for department.
- Responsible for learning and working with University systems in order to manage P-card receipts, expense claims, ordering supplies, catering
- Prepares and distributes time-sensitive reports and agendas.
- Answers incoming phone calls and emails. Sorts and distributes incoming mail and prepares outgoing mail for delivery.
- Maintains regular and follow-up files on confidential data.

Qualifications
- High School diploma or equivalent required
- 4 years of administrative experience required.
- Knowledge and mastery of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures/processes;
- Ability to communicate effectively (verbal and written);
- Customer service focus including the ability to assess inquiries and provide appropriate information or resolution using judgment and available resources, and proven ability to maintain confidentiality;
- Ability to coordinate and prioritize work with multiple and conflicting demands in a deadline-oriented environment;
- Ability to be collaborative and work in a team environment;
- Demonstrate Professionalism;
- Must be dependable/accountable
